Privacy Policy

1. Who we are

Fertileapp.com ("Fertileapp", "we", "us") provides clinic-branded patient education for fertility clinics. This policy explains how we handle personal information when you visit fertileapp.com, request a demo, or contact us, and how our clinic services handle patient information.

We follow Canada's Personal Information Protection and Electronic Documents Act (PIPEDA) and other privacy laws that apply to us. Our Privacy Officer is accountable for this policy and can be reached at support@fertileapp.com.

2. Information we collect on this website

Demo requests

When you complete the demo form, we collect your name, work email, clinic name, the plan you're interested in, and the date and time of your request.

Emails you send us

If you email us, we receive your email address and whatever you include in your message.

Technical information

Like most websites, our hosting provider automatically processes technical information, such as your IP address, browser type, and the pages you request, to deliver the site and protect it from abuse. The site loads its fonts from Google Fonts, so your browser also sends your IP address and browser details to Google when you visit. We don't use cookies, analytics, or advertising trackers on this website.

3. How we use it

We use the information described above to:

We collect only what we need for these purposes. We won't add you to a marketing mailing list without your consent, and we don't sell or rent personal information.

4. Consent

By submitting the demo form or emailing us, you consent to our use of your information as described in this policy. You can withdraw your consent at any time by emailing support@fertileapp.com. If you withdraw consent, we may not be able to continue arranging a demo.

5. Service providers and where information is stored

We use trusted service providers to run this website, including Vercel (website hosting), Neon (database hosting), Google (web fonts), and email providers we use to send and receive messages. They may only use personal information to provide their services to us and must protect it.

These providers may store or process information in the United States or Canada. Information stored outside Canada is subject to the laws of that country and may be accessible to its courts, law enforcement, and national security authorities.

We may also disclose personal information when required by law, or as part of a sale or reorganization of our business, under confidentiality obligations.

6. Patient information in our clinic services

Open Library

Open Library is a public learning website. It doesn't require an account or a login, and we don't ask Open Library visitors for personal information.

Personalized Portal

When a clinic uses Personalized Portal, the clinic decides which patients, partners, and surrogates get accounts, which modules they see, and what information is collected. The clinic is responsible for that information as its custodian or controller. We process it on the clinic's behalf and only on its instructions, under our written agreement with the clinic.

Personalized Portal offers hosting in Canada and the United States, with encryption, access controls, and audit logging. If you're a patient and want to access, correct, or ask a question about your information, please contact your clinic. We'll help your clinic respond.

7. How long we keep information

We keep demo request and contact information for as long as we need it to respond to you and maintain our relationship with your clinic, then we delete or anonymize it, unless the law requires us to keep it longer. Patient information in Personalized Portal is kept and deleted according to the clinic's instructions and our agreement with the clinic.

8. How we protect information

We use safeguards appropriate to the sensitivity of the information, including encryption in transit, access limited to people who need it, and providers with strong security practices. No method of transmission or storage is completely secure, but we work to protect your information and will notify affected people and regulators of a breach where the law requires it.

9. Your rights

You can ask to access the personal information we hold about you, correct it, or have it deleted, and you can withdraw your consent. Email support@fertileapp.com and we'll respond within 30 days. We may need to confirm your identity first.

If you have a concern, please contact us first so we can try to resolve it. You can also contact the Office of the Privacy Commissioner of Canada.

10. Children

This website is intended for fertility clinics and their teams. It isn't directed to children, and we don't knowingly collect personal information from children.

11. Changes to this policy

We may update this policy as our website and services change. We'll post the updated version here with a new effective date, and we'll tell clinics we work with about significant changes.
